Upcoming Vacancy Procedures
- With owner approval we audit the rental market and immediately begin marketing the Property as a Vacancy that is COMING SOON.
- We immediately send all current occupants our detailed Move Out Instructions via email and we share it to their tenant portal.
- We offer the Residents a Tanden Pre-Move Out Inspection which is to be scheduled 7-10 days prior to their final date of possession. This tandem inspection is to inform the vacating residents of any potential charges to their Security Deposit on file. This inspection is also utilized by your Property Manager to roughly evaluate any potential turn over repairs that will be required once the Resident vacates.
- On the final date of possession, the Resident is to turn the keys into our main office to surrender possession of the Property to the Management company.
- Day 1 of vacancy: Property is inspected and documented in detail using our Rental inspection software. This report is shared to the Property Owner along with a Punch List of needed repairs.
- Day 2-9: Bids are received, approved and work is scheduled and completed.
- Day 10-17: Invoices are received and broken out by the Property Manager to identify whether the Resident or Property Owner is responsible for each specific maintenance item. Owner and Property Manager discuss specifics.
- Day 18-20: Final Security Deposit Disposition is mailed and emailed to the previous Resident along with Funds (if a refund is in order).
Notes: JTS Property Management will be marketing, screening and showing your property to prospective tenants from the first day the Notice to Vacate is in Progress. These marketing efforts often allow us to qualify an approved applicant, show them the home, accept their Security Deposit and schedule their Move In within a matter of a few short days after the Residents vacate. Because of this, we may need to expedite our inspection and repair scheduling to ensure we minimize the amount of days your rental is vacant.
Security Deposit Disclaimer: California Law requires a written accounting and refund of Tenant paid deposit funds within 21 Days of the Resident vacating the Property. If the Property Owner holds the Security Deposit, we need to have those funds available by the date the Resident vacates. Penalty for failing to follow this may cost the Property Owner 3x the amount of the Security Deposit on File.
Repair Disclaimer: If the Property Owner prefers to handle the Turnover repairs, please immediately notify your property manager in writing so we may note the file and ensure you have access to the home as soon as the Resident vacates. Any charge of $125.00 or more to be levied against the Resident's Security Deposit must be accompanied by a written invoice.

Rental Property Standards
We are committed to providing safe, clean, and properly maintained homes to our residents. Here are some of the minimum standards we require of our managed Properties:
- Property professionally cleaned and free of trash and debris, inside and outside.
- HVAC system to be in good operating condition, with a new filter installed.
- All mechanical elements including appliances operating as designed.
- Caulking in kitchen and bathrooms shall be clean and free of mildew
- Doors and locks all functioning properly—ideally 1 key that operates all locks.
- Windows must open, close, and lock properly and window screens be in good condition.

Full Rent-Ready Requirements
In order to comply with both internal and state rental housing requirements, including the Rental Housing Inspection Program, every property must meet the below list in order to be considered ‘Rent-Ready’:
- Professionally cleaned to ‘Hotel Room Clean’
- Carpet professionally cleaned by a truck mounted vendor and looking fresh
- All painted surfaces fresh with no mis-match touch-up areas and repainting must be done corner to corner.
- All bedroom windows must have matching window coverings.
- No personal property or items in the unit. This includes furniture, knickknacks, toiletries, shower curtains, Kleenex boxes, kitchen or bathroom items, soap dispenser, pictures, tools, cleaners etc.
- No lawn equipment including mowers, tools, etc.
- Garage floor swept/blown out.
- No exterior trash or debris
- Lawn cut and trimmed, weeds pulled.
- Landscaping fresh and clean
- Carbon monoxide detector installed on each level.
- Smoke detectors installed in all bedrooms and common areas.
- All light bulbs working and ideally matching.
- Doors open & close smoothly and doorstops installed on all doors
- Bathroom caulking must be fresh and free of any mildew
- All mechanical components working as designed. Includes HVAC, plumbing and electrical systems, kitchen appliances, laundry appliances, sump pumps, water softeners, sprinkler systems, swamp coolers, gas fireplaces, water filtration systems, etc.
- Safety railings secure
- Be free of any trip hazards inside or outside of the property.
- All interior outlet plugs near water be protected by GFCI plug type.
- Water heaters be double strapped.
- Garage pedestrian door must have a functional self closing hinge installed.
- Wood-burning fireplace(s), if operational, shall be clean of any debris and have a fireplace screen or heat-proof glass doors installed. If non-operational, the fireplace opening on the interior of the home shall be permanently sealed with an aesthetically pleasing material.
